Send Details of Suite Room Components and Inventory Count to IDeaS RMS
The Stay - IDeaS RMS integration is enhanced to send details of the suite room components and inventory count from Stay to IDeaS RMS. This ensures that the suite room availability, occupancy, and pricing details are accurately sent from Stay to IDeaS RMS.
Previously, the suite room components and inventory details were not sent from Stay.
Through this enhancement, the suite room components configured at the room type-level with bedded room types are sent from Stay to IDeaS RMS along with the inventory details. Suite rooms configured with non-bedded room types are not sent from Stay.
Contact Agilysys to enable this feature for a property.
Once the feature is enabled for a property, the following valid suite room configuration conditions must be satisfied:

Suite rooms must be configured at the room type-level with bedded room types.

Suite rooms must not be configured with non-bedded room types, partial or missing components.

The component room type must not be set as Null at the room type-level.
Interface Settings
To support this enhancement, a new flag, Include Suite Components, has been added to the Inventory Out section of the IDeaS RMS interface in Stay (Interfaces ➜ Cloud Settings ➜ Settings). This flag supports the following functionality:

Enabled: When enabled, the suite rooms configured at the property will be validated, and upon successful validation, the component room details along with the inventory count will be sent from Stay to IDeaS RMS.

Disabled: This flag is disabled by default. When this flag remains disabled or when any of the mentioned suite room validation conditions are not satisfied, the component rooms and inventory count details will not be sent from Stay and the following message will be displayed: Some of the suite room type configurations do not comply with IDeaS standards. Please ensure the component is configured only at the Room Type level. In such cases, the flag will be turned off automatically.
The following details are sent from Stay to IDeaS RMS when this flag is enabled:

The suite room component configuration details.

The suite room inventory count details.

The physical capacity and the count of the total rooms sold.

The count of rooms out of order is always sent as 0 for suite rooms.

When suite rooms are blocked for a group, the blocked count is sent as rooms sold.
Enhancements to Configuring and Assigning Suite Rooms
The following enhancements have been made to configuring suite rooms when this feature is enabled for a property:

When creating suite rooms, the Component Definition field in the Add/Edit pop-up screen (All Settings ➜ General ➜ Rooms & Room Types ➜ Room Types ➜ Add/Edit) has been made mandatory.

Only bedded room types can be selected.

The component room type values cannot be set as Null.

When assigning suite rooms to reservations, users can select room numbers only from the predefined component definitions configured at the room type-level. The component definitions cannot be added or modified.

Once a room number is assigned to a suite room type, the Component Definition field in the Add/Edit pop-up screen will be disabled. In this case, the following message will be displayed: Modification of the component definition is not allowed, as the room number is associated with the selected Room Type.

When an inventory block (OOO/OTM/Hold) is created for a suite room in the Inventory Blocks section of the Housekeeping screen (Rooms Mgmt ➜ Inventory Blocks), the following message will be displayed to users: Status updates (OOO/OTM/On Hold) applied to Suite Rooms will not be synced to IDeaS CRS and will remain only in Stay PMS.
